How to Brief an Event Videographer: What to Send Before Your Corporate Event

Decide the formats first (highlight film, speaker clips, social reels), then send the agenda, a sound contact, interview names and your must-have moments. Most event video problems come from a missing brief – not from the camera.

A photographer can fix a lot in the edit. A videographer can’t fix missing sound, or a CEO who left before the interview. This is the brief we ask for before every corporate event we film in Switzerland.

Step 1: decide the formats first

Format Length Used for
Highlight film 1–3 min Website, LinkedIn, next year’s invitation
Speaker clips 1–2 min per talk LinkedIn, newsletter, thank-you to speakers
Social reels 15–60 s, vertical Instagram, LinkedIn, TikTok
Full talks Full length Intranet, on-demand for people who missed it
Interviews 30–90 s Recruiting, sales, sponsor reports

Horizontal and vertical video need different framing. If you need both, tell us early – then we plan the shots for it instead of cropping later.

A host on stage: clean sound from the microphone matters more than the picture.

Step 2: sound – the part everyone forgets

  • The contact of the sound technician, and a feed from the mixing desk for all speeches.
  • Wireless microphones for interviews – and a quiet corner to record them.
  • Music: licensed music for the edit. If a live band plays, ask them before the event whether we may use the recording.

Step 3: agenda, people and must-have moments

  • The agenda with times and rooms.
  • Names – ideally with photos – of speakers, VIPs and sponsors.
  • Five to ten must-have moments: the opening, the award, the product reveal.
  • Who does not want to be filmed, plus a short note at the entrance: “This event is filmed and photographed.”
Conference video – speaker in front of an audience at a corporate event
Talks: one wide and one close camera make speaker clips easy to cut.

Step 4: interviews

Plan three to five short interviews and book fixed times – “sometime during the day” usually means never. Send the questions in advance, for example:

  • What was your highlight today?
  • Why did you come to this event?
  • In one sentence: what will you take back to work?

Example: a conference day on video

This is how the brief turns into a plan on a typical one-day conference:

Time The video team is…
08:30 Setting up, sound check with the technician
09:00 Filming arrivals, registration and the room – material for the opening of the film
09:30 Opening keynote with two cameras
11:00 Coffee break: two booked interviews
15:00 Panel discussion, reactions in the audience
17:30 Awards and group moments
19:30 Dinner and party atmosphere – the energy for the highlight film
Event video – light show and crowd at a corporate party
A few minutes of the party give the highlight film its energy.

Step 5: delivery

  • Agree before the event what you need when – for example a short teaser the next day, the highlight film later.
  • Formats: 16:9, 9:16 or both; subtitles in English, German or both.
  • Brand: logo, fonts, colours and an intro or outro, if you use one.

Video, photo and AI video booth together

When photographer and videographer work the same event, we plan positions so they don’t stand in each other’s shots. An AI video booth adds personal clips that guests share themselves. For the photo side, see our event photography shot list.

The brief on one page

  • Formats chosen: highlight, speaker clips, reels, interviews.
  • Sound contact and a desk feed for speeches.
  • Agenda, names and photos of speakers and VIPs.
  • Five to ten must-have moments.
  • Interview slots and questions.
  • Filming notice at the entrance.
  • Delivery dates, formats and subtitles.
  • Logo, fonts and colours.

Frequently asked questions

How long should a corporate event highlight video be?

Usually one to three minutes. Longer films are rarely watched to the end. For social media, cut 15–60 second reels from the same footage.

Do we need one or two videographers?

One is enough for smaller events and a simple highlight film. If you want to publish the talks, two cameras – wide and close – make the edit much better.

Can you combine video with photography and the AI booth?

Yes – event photography, event videography and the AI Photo & Video Booth can be booked separately or together.

Do you film outside Zurich?

Yes – across Switzerland, including Geneva, Basel, Bern and Lausanne, and abroad on request.

Planning an event video?

Highlight films, speaker clips and social reels – filmed at corporate events in Zurich, Geneva, Basel and across Switzerland.
